Current issues

The University of Lapland’s EXAM examination rooms now have two pen displays. The pen displays are meant for students who need them in their exam (e.g. in mathematical tasks). If you need a pen display in your exam, choose “Pen Display Desk” when booking the exam. Instructions for using the pen displays are available in the EXAM room and on this page.

EXAM rooms will be closed for maintenance at the following times:

  • February 4: 8:00AM-4:00PM
  • March 4: 8:00AM-4:00PM
  • March 5-6: EXAM system is unavailable
  • April 1: 8:00AM-4:00PM
  • May 6: 8:00AM-4:00PM
  • June 3: 8:00AM-4:00PM


Instructions for students 

An electronic exam organised in the EXAM system is taken with an computer in an video-monitored exam room at the university campus. The examiner creates the electronic exam in advance in the university’s EXAM system, and sets an exam period during which the exam must be completed. Once the exam is published, you can book your exam time from the university’s EXAM system. During the exam performance, the university’s electronic exam instructions and code of conduct in the exam facilities must be followed.

Registering for an EXAM examination involves two steps: first you must register for the exam and then you may book your exam time. You can either register for the exam through a link provided by your teacher or by searching for the exam in the EXAM system. When you register for the first time, confirm that you have read the instructions on the electronic exam service and that you agree to follow them.

The EXAM results are published within three weeks after taking the exam, at the latest. During summer months (June, July and August), the exam results are published according to the guidelines of each faculty.

The EXAM rooms are open 8–22 every day with a STid mobile ID application. Without the application the EXAM rooms are open during the university’s opening hours. EXAM visitors can take exams only during the opening hours.

The University of Lapland’s safety instructions are to be followed in the exam space. You are prohibited from taking an exam if you have respiratory symptoms or if you are sick.

Pen display instructions

Exam computers 1–9 are located across the library in room A142. Exam computers 10–25 are located in the A-wing (Social Sciences), in room A119. See the campus map for the locations of the exam rooms.

The EXAM rooms are open 8–22 every day with a STid mobile ID application. Without the application the EXAM rooms are open during the university’s opening hours.

  1. Log in to EXAM. Use the Firefox or Chrome browser. Choose University of Lapland as your organisation on the log-in page and then log in with your university credentials.
  2. Go to the Exams tab. Search for the exam you want to register for. You can find it either with the course code, the exam title or the examiner’s name.
  3. Register by clicking the Register button. The system will confirm your registration with the message “You have registered for an exam. Remember to book an exam time”. You can book an exam time only up to 30 days in advance.
  1. After registering for the exam, book an exam time. From the drop-down menu, choose “Exam” as the exam room.
    • If you need an accessible spot, choose “University of Lapland, E-Exam” (accessible).
    • If you are going to take the exam as an exam visit at another university, Click the button “Select room for exam visit” and after that, from the drop-down menu, choose the university you will take the exam at.
  2. Choose a free exam timeslot from the calendar. Remember to confirm your reservation.
  3. After confirmation, you can see a summary of your exam registration, i.e. the exam title, duration and location. The summary is also sent to your e-mail.
  4. Remember to close your browser after logging out of the Exam system.
  • The university’s regulations pertaining to entry surveillance, evaluation of studies and use of information systems apply to electronic exams.
  • The EXAM rooms are equipped with real-time and recording video surveillance. When you register for an EXAM examination, you agree to video surveillance and that recording video surveillance and exam system information can be used to verify your identity.
  • Your exam will be dismissed if you leave the room in the middle of your exam.
  • You must work quietly in the exam room. Do not discuss with other examinees.
  1. You can access the exam room 5 minutes before your exam starts. If you have not arrived in the room 30 minutes after your exam has started, the electronic doors will be locked, and you can no longer take the exam.
  2. Arrive in the room quietly. Even if your exam has not started yet, other examinees might be taking their exams in the room.
  3. The exam room has lockers where you are expected to leave all your belongings. You may only take a water bottle with you to the exam. Bringing other items may be interpreted as cheating on an exam.
  4. Find the computer that was assigned to you when you registered for the exam. The number of the computer is clearly displayed in the room. If you log in to the wrong computer, the system notifies you of the computer you should be taking the exam on. You can do this to figure out the correct number if you have forgotten the number assigned to you.
  5. You must work quietly in the exam room. It is prohibited to discuss with other examinees. If you want, you can use the hearing protectors provided in the exam room.
  6. While you are taking an exam, you are not allowed to leave the room.

  2. Choose University of Lapland as your organisation on the log-in page.
  3. Log in with your university credentials.
  4. If your exam has started and you are on the right computer, your exam will launch right after you have logged in. If your exam has not started yet and you are on the right computer, wait until the exam starts. It will start automatically.
  5. If you are on the wrong computer, the system notifies you of the number of the computer your exam will start on.
  6. After your exam has started, you can see the examiner’s instructions on the first page. If no instructions have been provided, the first exam question will be opened instead.
  7. Write your answer to the text editor. Save your answer by clicking the Save button in the bottom right corner of the text editor.
  8. Move onto the next question. The remaining time is displayed in the top right corner of the page.
  9. The system saves your answers automatically every 1 minute.
  10. Do not close the browser while you are taking the exam.
  11. After you have answered all questions, click the Save and Submit button. The system will ask you to confirm submitting the exam.
  12. If you want to stop the exam, choose “Abort exam”.

 

 

If you are prevented from taking an exam, remember to change your exam reservation or delete it.

  1. Log in to EXAM.
  2. You can find all exams you have registered for from the Registration tab.
  3. Click Change registration icon in the top right corner of the exam summary and choose “Change exam time” or “Cancel reservation”.
  • If your exam is disturbed or you cannot continue, stop the exam and leave the exam room.
  • Always report on the discontinuation or disruption of an exam as soon as possible: fill in the form. While you are in the exam room, do not make phone calls or fill in the form.
  • After the disruption, you cannot continue the exam.
  • The examiner or EXAM support makes the exam available for re-taking.
  • Students who arrive late to an exam are not let in the exam room afterwards. If you are late to an exam and the electric doors have already closed, contact the examiner or EXAM support to make the exam available for re-taking.

Our university does not guarantee that technical support is available during an examination.

If you need individual arrangements for taking an exam, such as extra time, you must agree on it with the course teacher. More information and instructions on individual arrangements can be found here. The University of Lapland’s EXAM rooms have two accessible computer spaces for students who use wheelchair or other mobility aids. To use these computers, choose the E-Exam (Accessible EXAM) when booking an exam.

We aim to make EXAM examinations more accessible for all students. Please contact EXAM support for any questions related to accessibility or if you have a wish related to developing the spaces.

  • The EXAM examination rooms have storage lockers for keeping personal belongings. Students may bring only a water bottle to the workstation. Bringing any other items—such as a coat, bag, phone, watch, calculator, scrap paper, or pen—to the examination desk is prohibited. The storage locker must be emptied immediately after finishing the exam.
  • Students are not allowed to bring paper or any exam materials into the EXAM room, even if the teacher has permitted their use.
  • If you have a medical reason (such as allergies, asthma, diabetes, etc.) that requires you to bring medication or other additional items into the exam room, you must contact: exam@ulapland.fi in advance.
  • You may not leave the exam room during the exam. You may exit the room only after submitting or aborting your exam. There is no possibility for toilet visits during the exam.
  • If your exam is obstructed or interrupted due to technical or other issues, cancel the exam and leave the room. Submit an interruption report according to the instructions on the EXAM website.
  • Silence must be maintained in the exam room. Talking (not even to yourself), looking at others’ screens, or interacting with other examinees in any way is strictly forbidden.
  • Unnecessary walking in the exam room is not allowed.
  • Please be considerate of other examinees by avoiding the use of fragrances.
  • Technical support during the exam cannot be guaranteed
  • Any suspected cheating must be reported to the EXAM support team.
  • The rules for using the exam rooms apply from the moment you enter the room. The exam rooms are monitored by cameras to supervise electronic exams and the use of the facilities. If you do not follow these rules, your exam may be disqualified.
  1. In electronic exams, we follow the University of Lapland’s degree regulations.
  2. As an examinee, you consent to the use of entry surveillance, video surveillance and exam system information to verify your identity.
  3. Rules on using information systems apply during electronic exams.
  4. Data in the Exam system are processed according to the privacy notices.

Instructions for teachers

Electronic exams refer to exams completed on a computer in an examination room.

  • Handwriting is no longer an issue
  • Exam answers are better structured as the students can edit their answers with text editors
  • It is easy to give personal feedback through the system
  • The student can choose the time and location for their exam, which means you as a teacher are freed from arranging the exams yourself
  • The exam rooms have a real-time recording video surveillance.
  1. Log in to EXAM. When you log in for the first time, your profile is set to student. You can get teacher’s rights to EXAM by sending a request to exam@ulapland.fi.
  2. You will receive an e-mail notification after your rights have been updated.

EXAM is connected to the University of Lapland’s Peppi system, from which the scope of the study unit and assessment grid information are automatically transferred to EXAM. However, information from EXAM is not automatically transferred to Peppi, so exam assessments must be transferred to Peppi by hand.

Exam visits

The students of the University of Lapland have the option to take EXAM examinations in different cities. Currently it is possible to make an Exam visit to the universities listed on the EXAM consortium’s website.

Register for an EXAM examination through the University of Lapland’s electronic exam service with your own ulapland credentials and book an exam time from another institution’s list. You will receive a confirmation of your reservation by e-mail. Check the university’s opening hours and instructions on their EXAM rooms before booking. Each university has their own practices.

An exam visit means that you take an exam for a course of your own university in an EXAM exam room of another university. The exam visit is booked in your own university’s EXAM system using your university’s login credentials.

The exam room has real-time and recorded camera surveillance. When you book an exam time in University of Lapland’s exam room, you accept University of Lapland’s rules for electronic exams and surveillance practices. During an exam visit, camera surveillance recordings are handed over to your home university if necessary.

University of Lapland has the following software for exam visits:

  • Excel
  • Acrobat Reader
  • Calculator
  • Windows photos
  • Notepad

There are two pen display desks at the EXAM rooms. Please note that pen display desks don’t have Excel or a calculator. If you need to use some other software in your exam that is not listed above, you cannot take the exam in our EXAM room. Additionally, our EXAM room does not have headphones for listening to audio files; therefore exams with audio files cannot be taken in our EXAM room. There are hearing protectors provided in the exam room.

Reasonable accommodations for exam visits

  • the student can request reasonable accommodations for taking the exam from their home university. Arrangements are agreed on a case-by-case basis between the home university and the host university.
  • The University of Lapland’s EXAM rooms have one accessible computer for exam visitors. Computer is accessible for exam visitors that use a wheelchair or other mobility aids. To use these computers, choose the Tenttivierailu (esteetön) when booking an exam.

Restricted exams on personal computers

The University of Lapland will gradually introduce a restricted EXAM examination that can be taken on personal computers. A restricted exam on a personal computer is an electronic exam that is conducted at the university’s premises as a lecture hall exam. The exam can only be taken in the room specified by the teacher. Before the exam, the student downloads Safe Exam Browser to their computer, which is used to open the exam file. The exam file is sent to the student by e-mail as part of the confirmation of registration. The exam file can be opened with Safe Exam Browser and during the exam, the student cannot access the files on their computer or any of their browsers. As the exam begins, the teacher gives the students the password for the exam. After the student submits or stops the exam, the application closes and the students’ computer will work as usual. Exam responses are saved to the EXAM system.

Before taking the exam on your personal computer, you need to connect to the wireless Eduroam network. See the instructions here.

  • Read the instructions on restricted personal computer exams carefully and if need be, contact the EXAM support for any questions related to reserving and taking exams.
  • Check the condition of your computer. If your computer is broken or it has Linux  as its operating system, contact your teacher to get a spare computer.
  • Download the Safe Exam Browser and exam file to your computer in good time before the exam. Safe Exam Browser can be downloaded here. The exam file will be sent to your e-mail after you have made an exam reservation, and you can download it from your e-mail after receiving it. Safe Exam Browser and the exam file must be downloaded on your computer before the exam. If you have not downloaded them when the exam starts, the teacher can remove you from the exam.
  • Make sure your laptop battery is fully charged before the exam and bring the power cord with you just in case.
