Individual study arrangements at the University of Lapland

The goal of individual study arrangements is to support students in achieving the set learning outcomes of their courses and degree. Individual study arrangements help us ensure every student has equal opportunities to study. The arrangements do not alter the learning outcomes or assessment of a course. However, the Non-discrimination Act obliges us to make reasonable adjustments to the courses.

Students can apply for individual study arrangements on health-related grounds to be able to complete their studies. Reasons for such arrangements may include, for example, hearing, vision or other sensory impairments, reading and writing difficulties, mental health reasons, ADHD or autism. Individual arrangements can be made based on a reading difficulty if the difficulty is severe or moderate. Individual arrangements can also be applied for based on a doctor’s certificate if the impairment is temporary, for example, as a result of an accident.

Individual study arrangements can be made for a fixed period or for the entire duration of studies. Not all life situations qualify students for individual study arrangements. Arrangements are not made, for example, because a student lives outside the campus location. If needed, students can apply for individual study arrangements again for example if their situation changes, their studies continue and they have a need for arrangements after they have already received a decision. The granted individual study arrangements are valid at both the University of Lapland and Lapland University of Applied Sciences.

Instructions

Below are instructions for both students and teachers about individual study arrangements.

Examples of individual study arrangements:

· Extra time for exams

· Extra time for submitting independent assignments

· The possibility to take exams on a computer and use proofreading software while writing

· The possibility of an alternative method of examination, for example, oral exams, projects, computer-based exams taken at home or remotely supervised exams taken at home

· Clear and precise information on the course structure, key dates, exam requirements, practical arrangements and assignment instructions

· A quiet exam room

· Larger writing space

· Consideration of mobility impairments

· Credentials to Accessibility Library Celia.

If you have a need for individual study arrangements, get familiar with the instructions below and fill in the application. Individual study arrangements can be applied for throughout the academic year, as needed.

The need for individual arrangements may arise from physical or mental illness, disability, learning difficulties or, for example, issues with nervousness. Individual arrangements can be made for students with a reading disability if the difficulty is severe or moderate. Individual arrangements can also be applied for based on a doctor’s certificate when the impairment is temporary, for example, due to an accident.

The granted individual study arrangements are valid at both the University of Lapland and Lapland University of Applied Sciences.

How do I apply for individual study arrangements?

1. Fill in the application electronically. Take a look at the recommendations in the “Typical recommendations” section. If you are unsure of what kind of arrangements you need or the list does not include what you are looking for, book a guidance appointment from yksilolliset.jarjestelyt@ulapland.fi.s. You can also discuss your need for individual study arrangements with the university social worker or the study psychologist.

2. In addition to the application, attach an expert statement to the e-mail (e.g. from a doctor, psychologist or special education teacher). Health-related statements will be destroyed after processing. Original, physical copies of statements are not accepted.

3. Send in the application and expert statement to yksilolliset.jarjestelyt@ulapland.fi.s. The application is confidential, and the applicant’s information will be kept private (Act on the Openness of Government Activities, section 24, paragraph 25).

 

I was granted individual study arrangements, what next?

1. You will receive an accessibility pass that includes information on the arrangements you are entitled to. Keep the accessibility pass safe.

2. Discuss your need for individual study arrangements with a course teacher, preferably already at the beginning of a course. Show your accessibility pass to

the teacher. The teachers do not have access to information on students’ needs for individual study arrangements, meaning that you must discuss it with the teachers when needed.

3. Exams: if you need extra time for exams, inform the teacher of your need two weeks before the exam, at the latest. If you are unable to take the exam, cancel your exam registration as soon as possible. Extra time for Exam examinations can be granted only if the exam lasts for 1 to 3 hours.

4. Students at the Faculty of Law: if you have been granted individual study arrangements for exams, confirm that you are taking the exam by 2 p.m. on the last registration day for the exam by e-mail opinto@ulapland.fi. If you are unable to take the exam, cancel your exam registration as soon as possible.

Individual study arrangements alter the course implementation and completion, but they do not affect the learning outcomes.

· Recommendations for individual study arrangements are always granted based on health reasons, backed by an expert statement. Information on a student’s health or their learning difficulty, which are protected by data protection regulation, is not visible in the accessibility pass. The period of validity for the recommendations varies depending on the student’s situation and needs.

· Teachers may, at their discretion, grant case-specific flexibilities on courses for example due to short-term illness or injury.

· Accessible courses reduce the need for individual study arrangements. It is in every student’s best interest to have a summary of the course content and schedule available on Moodle and for teachers to communicate clearly about the course both orally and in writing. · It is recommended to remind students to tell teachers in good time about their need for individual study arrangements and of their accessibility passes.

· When a student contacts you, discuss the implementation of individual study arrangements with them. The teacher makes the final decision regarding individual study arrangements in their course. A teacher’s personal working pace is not a valid reason to deny individual study arrangements. If implementing the individual study arrangements requires an unreasonable amount of your working time, discuss the matter with your supervisor.

· If your course involves visiting lecturers or multiple teachers, ensure the uniformity of e.g. substitutive tasks.
